PERSONAL ASSISTANT TO CEO


  1. Provide secretarial and administrative service to the CEO which includes:
    • Corresponding on behalf of the CEO for appointments and manage her schedule.
    •  Assist in preparation for EXCO meeting, Board meeting, Committee and other internal meetings.
    •  Identify, anticipate and prepare information requirements from the CEO for meetings, appointments, presentations etc and follow up inward and outward request information, reports and correspondence.
    • Attend internal meetings with CEO and take minutes.  
    • Manage travel and accommodation arrangements for the CEO.
    •  Dealing with incoming emails, faxes and post, other correspondences and dispatch of materials on behalf of the CEO.
    • Filing and retrieving corporate documents, records and reports.
  2.  Meeting and greeting visitors at all levels of seniority including taking/collecting from the airport or other location when required.
  3. Screening phone calls, enquiries and requests.
  4. Manage and enhance relationship with relevant internal and external parties.  
  5. Manage stationaries and pantry purchases.
  6. Any other duties and responsibilities that may be assigned by CEO from time to time.

FINANCE EXECUTIVE


  1. Assist Group Finance team to:
    • Monitor accounts and consolidation.
    • Ensure all accounting records and financial reports are kept and prepared in accordance with the procedures, policies and general accepted accounting standards and practices.
    • Ensure timely preparation and submission of the monthly and yearly financial statements.
    • Assist with tax planning and compilation of tax schedules and submission (including Company’s income tax and GST). 
    • Liaise with auditors, tax agents, company secretary, solicitors/lawyers, bankers and other statutory bodies/authorities pertaining to financial/ accounting matters.
  2. Manage, monitors and verifies claims from grant beneficiaries.
  3. Establish, review, recommend and implement processes and procedures to improve operational efficiency and controls.
  4. Assist in procurement processes.  
  5. Any other accounting / finance functions as requested by the management.
